The event may be six months away. The planning shouldn't be.
Six months sounds like ages. It isn't.
March and April can feel a long way away when you're staring at a September diary. But those months are exactly when lots of organisations want to bring people together: leadership days, strategy meetings, conferences, client events, team away days and spring celebrations.
The problem is that you're not the only organisation thinking ahead. Venues, suppliers and speakers all have finite diaries. Starting in September gives you time to make good decisions instead of fast ones.
What to secure first
Start with the date or date range, the objective, approximate numbers, location and budget. Then secure the venue. If accommodation is needed, include that in the first search rather than adding it later.
Once the venue and date are confirmed, you can work out the rest: agenda, speakers, activities, catering, production and delegate communications.
Use the extra time to make the event better
Early planning isn't just about avoiding stress. It gives you room to compare options properly. You can visit the venue in daylight, negotiate the contract, build a stronger programme and give people enough notice to attend.
It also leaves space for the unexpected, a speaker's diary changing, a supplier becoming unavailable or an internal approval taking longer than planned.
You don't have to do the venue bit yourself
Venue finding is one of the easiest parts of the process to hand over. Give us your brief and we'll search our network, check availability, shortlist suitable spaces, arrange visits and negotiate the details.
And because our venue finding service is free to clients, there is no reason to spend your September working through dozens of venue websites.
Got a spring event on the horizon? Send us the brief and we'll get the venue search moving.
