September is the moment to look ahead
September has a particular advantage in the event calendar: the summer holiday fog has lifted, diaries are filling up again, and suddenly everyone remembers the events that need to happen between January and June. If you've got spring meetings, away days, leadership events or client gatherings sitting somewhere on your to-do list, this is the moment to get the venue search moving.
You don't need every detail decided. You do need enough of a brief to start finding the right options: approximate numbers, preferred dates or date range, location, budget and what the event needs to achieve.
The best venues get harder to secure
Popular spaces are not sitting empty waiting for a last-minute enquiry. Spring dates can disappear quickly, particularly for venues that work well for residential away days, leadership meetings and larger conferences. Starting in September gives you a much better chance of comparing genuine options rather than choosing from whatever happens to remain.
It also gives you time to visit a shortlist, get internal approval and negotiate before the event becomes urgent.
A good venue search is more than a Google search
Finding a venue properly means checking availability, capacity, layout, access, accommodation, catering, AV, minimum spends and the small-print costs that can turn a good-looking quote into a bad one. It also means knowing which venues are worth approaching even when they aren't obvious from the first page of search results.
That's the bit we take off your plate. Give us the numbers, dates, budget and feel you're after and we'll search, shortlist, arrange site visits and negotiate. As AIEA members, our venue finding service is completely free because the venue pays us a commission.
Get the foundations in place now
September doesn't need to be about finalising every menu, activity and delegate detail. Secure the things that become harder to find: the venue, the date and the broad shape of the event. Everything else can be built around those foundations.
A little planning now means far fewer panicked emails later, and a much better choice of venue.
Send us your numbers, dates and brief and we'll take the venue search from there, free of charge.
